What Is the Best PSA Tool in 2026?
TL;DR
There is no single best PSA tool. There is only the best one for how your firm sells, staffs, delivers, and bills. Most "top 10" lists skip that part because a feature grid is easier to write than a real opinion. This one does the opposite: what each platform is built for, what it costs, and which kind of firm should shortlist it.
We looked at the nine platforms consulting and professional services firms shortlist most in 2026: Operating, Kantata, BigTime, NetSuite SuiteProjects Pro, Polaris by Deltek, Certinia, Scoro, Productive, and Parallax. For each, you get a center of gravity — what the product is built around — and a sweet spot — the firm that should buy it.
Why most firms still run on spreadsheets
Most professional services firms don't run on a PSA. They run on a spreadsheet, a time tracker, an accounting tool, and a CRM that don't talk to each other. CMap, drawing on The Consultancy Growth Network's BenchPress research, puts it plainly: 75% of firms aren't using a PSA, and fewer than half track chargeable time.
The cost of that shows up in utilization. SPI Research's 2025 Professional Services Maturity Benchmark found average billable utilization fell to 66.4%, down from 68.9% the year before. That is the lowest reading on record and the fourth straight year of decline. SPI treats 70% as the floor for a healthy firm and 75% as the target, so the average firm now sits 3.6 points under the floor. Every point you lose comes out of margin.
The upside is just as measurable. The 2024 Consultancy BenchPress survey, run by The Consultancy Growth Network with CMap and The Wow Company, found PSA users reporting 19% higher gross margins than spreadsheet users, even as PSA adoption rose from 16% to 24% year over year. An earlier 2023 BenchPress study found a 25-point jump in average utilization when firms moved from no tooling to a PSA. The wording shifts year to year, but the takeaway holds: connecting sell, staff, deliver, and bill into one system is the biggest operational lever most firms have.
How to read this comparison
Two firms can both call themselves consultancies and need different tools. A 12-person design studio and a 2,000-person systems integrator are not in the same market. So instead of ranking these one through nine, we describe each one's center of gravity and sweet spot. Match those to your firm, not to a star rating.
The nine tools, assessed
Operating
Center of gravity: AI operations for consulting firms — resource planning, time tracking, invoicing, and revenue recognition, with the CRM left to your CRM.
Sweet spot: Consulting firms and agencies that want an operations layer connecting the stack they already run, not a replacement for it.
Operating is the newest entry here, built by people who ran a consulting firm and wanted a PSA to run their consulting operation. Founder and CEO Lauri Eurén worked as a consultant and scaled a consultancy's operations in multiple countries unit before building it. The product is organized around skills-based resource planning and a fast month-end close: timesheet approval, revenue recognition built for professional services, and recurring or custom invoicing. It is among the first PSAs to ship a live MCP server, so AI assistants — Claude, ChatGPT, Microsoft Copilot, Gemini, or Cursor — can read and act on your resource and project data directly. Operating integrates natively with HubSpot, Salesforce, Pipedrive, Harvest, and HiBob, with customers connecting Workday, MS Dynamics, Monday.com, and BambooHR over the API.
Customer numbers Operating publishes: Inventive cut absorbed unbilled work from $250,000 to $25,000 in a year and credits the platform with a role in 40% growth over the same period; Columbia Road runs cross-border staffing across Finland and the Nordics.
Operating leaves task and project management features to purpose-built platforms like Linear making it a great PSA choice for IT services firms who often want to separate high level resourcing from agile project management.
Kantata
Center of gravity: Resource management and project financials for mid-to-large firms, now wrapped in an AI layer.
Sweet spot: Consulting, IT services, and agency firms past roughly 50 to 150 billable staff that need deep resourcing and forecasting and can absorb a real implementation.
Kantata came out of the 2022 merger of Mavenlink and Kimble, two established PSA vendors. In 2025 it launched the Expertise Engine, which it says runs on a proprietary Services Language Model to handle scoping, pricing, team assembly, and risk prediction; a Sales Accelerator turns past wins into AI-scoped proposals. You can buy it Salesforce-native (Kantata SX) or as an open edition, with more than 1,200 prebuilt connectors. The SLA commits to 99.8% uptime and support runs 24/7/365. Kantata doesn't publish pricing; third-party listings put it around $45 per user per month with a roughly 50-seat minimum, and real deals tend to land between $50 and $110.
BigTime
Center of gravity: Time, expense, and billing for small-to-mid firms, with resource planning arriving as you climb the tiers.
Sweet spot: Accounting, consulting, and engineering firms from roughly 10 billable staff up that want time-and-billing and QuickBooks sync without enterprise weight.
BigTime is built around time tracking, invoicing, and project accounting. Its AI assistant, AVA, runs on OpenAI's models against BigTime's own knowledge base. Pricing is published: Essentials at $20 per user per month covers time, expense, and projects; Advanced at $35 adds a client portal, custom reporting, and DCAA compliance; Premier at $45 adds budgeting, multi-level approvals, and standard resource planning; the top Foresight Connect tier (custom pricing) adds skills-based planning and profitability forecasting. It integrates with QuickBooks, Sage Intacct, Xero, NetSuite, MS Dynamics, Salesforce, HubSpot, Jira, Smartsheet, and Okta.
NetSuite SuiteProjects Pro
Center of gravity: PSA bound to NetSuite's ERP and financials, for larger services organizations.
Sweet spot: Firms already on, or moving to, NetSuite ERP that want project operations feeding straight into corporate financials.
Formerly NetSuite OpenAir, rebranded to SuiteProjects Pro in February 2025, this is the PSA you reach for when your finance backbone is NetSuite. The 2026.1 release added AI-generated narrative insights and expanded the NetSuite AI Connector Service, which uses the Model Context Protocol to let AI clients like Claude and ChatGPT query NetSuite data under role-based permissions. It integrates via REST and SOAP web services, ODBC/JDBC connectivity, and the SuiteApp marketplace. Pricing is quote-based; third-party listings cite a starting figure around $399 per user per month, but it varies by role and deployment, so treat that as a ballpark and get a quote.
Polaris by Deltek
Center of gravity: Near-passive time capture and resource intelligence, strong for project-based and government-adjacent firms.
Sweet spot: Firms that want time captured in the background, so consultants barely touch a timesheet, including those with government-contracting compliance needs.
Polaris PSA comes from Deltek through Replicon. Its signature feature is ZeroTime, which captures time and work data from 100+ apps — Slack, Jira, Outlook and more — and uses machine learning to pre-populate timesheets, so consultants spend less time filling them in even though the platform supports full timesheets. Its AI assistant is named Dela. Polaris starts at $29 per user per month, or $49 with ZeroTime. The Replicon platform underneath it holds FedRAMP Moderate authorization and supports DFARS 252.204-7012 and CMMC requirements, which matters for defense and government contractors. Polaris was named a Major Player in the IDC MarketScape: Worldwide AI-Enabled PSA Applications 2025–2026 Vendor Assessment.
Certinia
Center of gravity: Salesforce-native PSA and services financials for firms standardized on Salesforce.
Sweet spot: Larger services organizations already running Salesforce that want PSA, billing, and revenue recognition inside the same platform as their CRM.
Certinia, formerly FinancialForce, is the only major PSA built entirely on Salesforce. That coupling is the whole pitch: sales, delivery, resourcing, and financials share one master record. Its AI capability, branded Veda, is built on Salesforce Agentforce and secured through the Einstein Trust Layer. Certinia starts around $175 per user per month, the priciest entry here, reflecting its finance depth, though like its enterprise peers it sells on quote. Ownership: Haveli Investments holds a majority stake, acquired in 2023, with TA Associates making a minority growth investment in late 2024 alongside General Atlantic and Salesforce Ventures.
Scoro
Center of gravity: End-to-end quote-to-cash work management for agencies and consultancies at a mid-market price.
Sweet spot: Agencies and consultancies that want one tool running the whole stretch from quote to final invoice without paying enterprise money.
Scoro builds its pitch around quote-to-cash: run the entire portfolio from the first quote to the final invoice in one platform spanning pipeline, quoting, resourcing, time tracking, billing, and reporting. It added an MCP server among its updates in early 2026. Pricing runs across four tiers — Core, Growth, Performance, and Enterprise. Core starts at $19.90 per user per month billed annually, or $23.90 monthly; Growth is $32.90/$38.90; Performance is $49.90/$59.90; Enterprise is custom. There is a five-user minimum.
Productive
Center of gravity: All-in-one agency management — sales, projects, resourcing, and billing — for digital and creative agencies.
Sweet spot: Small-to-mid digital agencies that want budget-friendly project and financial management in one tool.
Productive bundles sales and CRM, project management, resource planning, time tracking, billing, and profitability reporting for agencies. It is the cheapest way in here: the Essential tier is $12 per user per month billed monthly, or $10 billed annually, with a three-seat minimum. The Professional tier runs $29, or $25 annually.
Parallax
Center of gravity: Resource forecasting and capacity planning for digital agencies and dev shops.
Sweet spot: Digital agencies and software firms that want to forecast utilization and capacity without ripping out their existing time-tracking and CRM.
Parallax is built for agencies and software firms around forecasting, capacity planning, and margin visibility, and it sits on top of tools you already use — Harvest, HubSpot — rather than replacing them. Per GetApp's reviewer data, resource management is the most frequent use case at 92% of reviewers, with computer software the top reviewer industry at 34%. Parallax typically goes live in under 30 days, a contrast to multi-month legacy rollouts.
