For global systems integrators with 5,000-plus employees, that level of infrastructure can be necessary. Audit-grade multi-entity financial consolidation and revenue recognition are legitimate requirements at that scale.

For agile firms with 30 to 2,000-plus people, the same architecture can become a massive overbuy. Implementation fatigue follows, and the software becomes harder to adopt than the process it was supposed to organize.

That matters because approximately 60% of software buyers have experienced post-purchase regret, according to Gartner's 2024 Global Tech Trends Survey of 3,484 buyers. The leading product-related reasons were higher-than-expected total cost of ownership at 33% and slow or difficult implementation at 32%.

1. CRM harmony over pipeline duplication

A modern PSA should operate as a decoupled operations layer rather than forcing the services team to rebuild its sales process inside a second application.

The requirement is straightforward: the PSA should pull tentative and closed-won deals from the existing GTM stack, including HubSpot, Salesforce, or Pipedrive, so resource teams can forecast capacity before contracts are signed. Operating follows this model through its integrations.

Harvest creates a different pricing issue. Following its mid-2025 acquisition by Bending Spoons, the platform layered aggressive usage fees onto its $9-$14 base rate, producing up to 600% cost increases for highly active firms.

A modern PSA checklist should make these pricing mechanics visible before procurement is approved.
